Phone Status & Troubleshooting

Confirm your phone is connected and resolve common call issues.

Look at the phone line or extension shown on your phone's display.

✓ Check mark The phone is registered and connected.

× X symbol The phone is not registered.

If you see an X: Reboot the phone. If it still does not register after restarting, contact Technical Support.

If you can place outgoing calls but cannot receive incoming calls, first check whether Do Not Disturb is turned on.

Do Not Disturb may be active when you see:

  • A minus symbol on your phone line or extension.
  • A minus symbol over a phone icon.
  • My Status: Do Not Disturb in the upper-right corner of the screen.

Do Not Disturb sends incoming calls directly to voicemail until the feature is turned off.

If Do Not Disturb is not active, reboot the phone by disconnecting its power and Ethernet or PoE cable. Reconnect the cables and allow the phone to restart.
  1. Unplug the power cable from the back of the phone, when applicable.
  2. Unplug the Ethernet or PoE cable from the back of the phone.
  3. Wait a few seconds.
  4. Reconnect the cables and allow the phone to restart.
Some LINK phones receive both power and connectivity through the Ethernet cable. This is called Power over Ethernet, or PoE.

Voicemail

Listen to voicemail from your desk phone or another phone.

  1. Press the Voicemail button.
  2. Enter your voicemail password. The default password is 7797.
  3. Press the # key.
  4. Follow the spoken prompts to review your messages.
For security, change the default voicemail password after accessing your mailbox.
  1. Call your personal office phone number.
  2. Allow the call to reach your voicemail greeting.
  3. When your greeting begins, press the * key.
  4. Enter your voicemail password.
  5. Press the # key.

Making & Managing Calls

Place calls, use hold and create conference calls.

To call someone within your office:

  • Enter the person's extension and press Dial, or pick up the handset.
  • If the extension is programmed on your phone, press the button next to that extension.

To place an outside call:

  • Enter the phone number and then pick up the handset; or
  • Pick up the handset first and then enter the phone number.

Place a call on hold:

  1. During the call, select the Hold prompt at the bottom of the screen.
  2. A red pause icon will appear on the line, and the line light may flash red.

Resume the call:

  1. Select the Resume prompt.
  2. A green play icon will appear on the active phone line.
  1. While speaking with the first person, select More at the bottom of the screen.
  2. Select Confrnc.
  3. Enter the phone number of the person you want to add.
  4. Wait for that person to answer.
  5. Select More, then Confrnc again to combine the calls.
Select Split to separate the conference into two calls. You can then switch between the calls or create a new conference while leaving one call on hold.

Transferring Calls

Send callers to another extension or phone number.

An announced transfer lets you speak with the receiving person before sending the caller through.

  1. During the live call, press the button below Transfer.
  2. Enter the extension or full phone number, including area code.
  3. Wait for the receiving person to answer.
  4. Speak with the person, then select Transfer again to complete the transfer.

A blind transfer sends the caller immediately without speaking to the receiving person first.

  1. Select Transfer during the call.
  2. Enter the extension or full phone number, including area code.
  3. When the Transfer prompt reappears, select Transfer again without waiting for an answer.
  1. Select the held call.
  2. Select the Transfer prompt.
  3. Enter the extension or phone number.
  4. Select Transfer again when the prompt appears.

Call Forwarding

Send calls to another extension, mobile phone or number.

LINK phones provide three forwarding options:

  • Always: Every incoming call forwards to the selected number until forwarding is disabled.
  • No Answer: Your phone rings first. If no one answers, the call forwards to the selected number.
  • Busy: Calls forward when your line is already in use.
Use Always when your office is closed or unattended. Use No Answer when you still want an opportunity to answer at your desk.
  1. Press the button below the Forward prompt.
  2. If your phone has multiple lines, select the line you want to forward.
  3. Choose Always, No Answer or Busy.
  4. Enter the phone number that should receive the calls.
  5. Select Forward.
  6. Confirm the line and forwarding type, then select Enable.
  1. Press the Forward button.
  2. If prompted, select the phone line where forwarding is active.
  3. Select the forwarding option you want to turn off.
  4. Select Disable.

Call History & Directory

Review recent calls and access saved contacts.

  1. Press the Home button to open the phone menu.
  2. Navigate to Directories using the arrow pad.
  3. Press the Select button or the center of the arrow pad.
  4. Select Recent to view incoming, outgoing and missed calls.
  1. Press the Home button to open the phone menu.
  2. Navigate to Directories and press Select or the center of the arrow pad.
  3. Select Directory to view entered contacts.
  4. Select Favorites to view numbers saved as favorites.
